SUMMARY
The Cataloging and Metadata Specialist is responsible for the day-to-day cataloging of library material and creation of metadata for archival collections in the Library and Archives. This individual will work in a collaborative team environment to facilitate discovery and access to library and archival collections. They will contribute to the effectiveness and efficiency of the research and educational activities of the Toledo Museum of Art.
KEY ACCOUNTABILITIES
Maintains library holdings in OCLC and the library’s integrated library system.
Performs original and complex copy cataloging of books and non-book materials in English and other languages for the library using national cataloging standards.
Resolves cataloging and authority problems, including maintenance of bibliographic database records.
Applies classification to all materials cataloged using local classification schemes.
Maintains proficiency in all essential functions of OCLC and the integrated library system, including assisting with the implementation of a new system.
Works with Archivist to assist with documentation of archival collections including creating and editing of finding aids, cataloging of archival collections, data entry, and creation of metadata for digital objects.
Collaborates with library staff to maximize the functionality of our integrated library system, assess best practices, and streamline workflow.
Manages physical processing workflow for all materials, including preservation of library materials, basic book repair and inventory of supplies.
Assists Head Librarian with acquisitions by creating and maintaining orders in the library system.
Coordinates retrieval and circulation of library materials to Museum staff.
Assists with supervision of volunteers and interns.
Assists with public services by covering the Reference Desk at regularly scheduled shifts.
Performs other duties as assigned or required.
EDUCATION AND EXPERIENCE
Bachelor’s degree in humanities or cultural studies discipline required, art history coursework preferred.
Work toward a Master of Library Science (MLS) preferred.
1 year of coursework or experience in cataloging required.
1 of library experience strongly preferred.
Experience working with an integrated library system is required.
Experience with metadata creation preferred.
SPECIALIZED KNOWLEDGE, COMPETENCIES, AND ABILITIES
Experience working with OCLC preferred.
Knowledge of current metadata and cataloging standards such as MARC, EAD, and Dublin Core.
Knowledge of the creation of finding aids preferred.
Strong interest in art history preferred.
Strong proficiency in using Microsoft Office.
Self-motivated and able to manage their own time to ensure a variety of tasks are completed in order of importance and in a timely manner.
Excellent communication skills and ability to communicate effectively to both technical and non-technical users.
Meticulous attention to detail and highly developed organizational skills, able to organize workflow and coordinate activities.
Understanding of and commitment to DEAI in cataloging practices.
Book repair experience a plus.
RELATIONSHIPS
Reports to and receives direct supervision from the Head Librarian.
Works mainly closely with members of the library team while building strategic working relationships with members of the collections and curatorial departments.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
Standard office work environment with related phone, computer, and printer noise. Position requires ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, printer, and phone system; Must regularly handle books weighing up to 10 pounds and sit for long periods of time. May occasionally lift and/or move up to 25 pounds and also push or pull heavy objects on wheels such as book trucks.
